Refunds, Cancellations & Guarantee Policy
Astrantia Talent Limited
1. Scope of Services
All services provided by Astrantia Recruitment (“Astrantia”, “we”, “us”) are supplied strictly on a business-to-business (B2B) basis in accordance with applicable UK and EU recruitment legislation, including the Conduct of Employment Agencies and Employment Businesses Regulations 2003 (as amended).
By engaging Astrantia Talent, the client (“Client”, “you”) confirms that it is acting in the course of business and not as a consumer.
2. Refund Policy
No refunds are payable in any circumstances.
Once a candidate introduced by Astrantia Talent has accepted an offer of employment or engagement—whether acceptance is communicated orally or in writing—the placement fee becomes fully earned, due, and non-refundable.
This applies regardless of:

The duration of the candidate’s employment or engagement

Early termination for any reason
-
Changes in business needs or strategy
-
Suspension or cancellation of the recruitment campaign
-
Lack of communication or delays caused by the Client
No cash refunds, credits, or fee reductions will be issued under any circumstances.
3. Placement Fees & Payment Terms
Placement fees are invoiced following confirmation of a candidate’s acceptance of an offer.

Invoices are payable within fourteen (14) days of the invoice date
-
Payment must be made by electronic funds transfer
-
Failure to pay within the agreed timeframe may result in enforcement action and suspension of any guarantees or additional services
Astrantia Talent reserves the right to invoice the placement fee on the date the candidate accepts the offer.
4. Cancellation of Recruitment Assignment
Astrantia Talent reserves the right to invoice a cancellation fee and/or the agreed placement fee if:

The role specification, seniority, or candidate profile is materially altered after the recruitment process has commenced;

The Client cancels or suspends the assignment after recruitment activity has begun;

No communication or instructions are received from the Client for a period exceeding fourteen (14) days following written notice from Astrantia.
For contingency-based recruitment, Astrantia may close the assignment if communication stagnates beyond the above period.
5. Guarantee – Free Replacement (No Charge)
A free replacement guarantee applies, subject strictly to the following conditions:

All Astrantia invoices have been paid in full and within agreed payment terms;

The Client provides written notification within the guarantee period if the candidate leaves or is removed;
-
The role requirements, location, responsibilities, and qualifications remain substantially unchanged.
The guarantee is limited exclusively to the provision of a replacement search.
No refunds, credits, or fee reductions are available in lieu of a replacement.
If the Client’s requirements change (including but not limited to location, language skills, seniority, or technical qualifications), Astrantia reserves the right to issue a revised assignment proposal with adjusted fees.
6. Communication Obligations
Timely communication with Astrantia is essential to the success of any recruitment campaign.
Failure to respond or provide instructions may:

Result in candidate withdrawals

Lead to campaign cancellation
-
Incur additional fees where applicable
Astrantia accepts no liability for delays or outcomes caused by a lack of Client communication.
7. Third-Party & Introduction Protection
All candidate introductions made by Astrantia Talent are confidential and exclusive to the Client.
If a candidate introduced by Astrantia is:

Passed to a third party; or
-
Engaged by another employer as a result of Astrantia’s introduction
the Client shall remain liable for the full placement fee as if the engagement had been made directly by the Client.
8. Governing Basis
This policy forms part of Astrantia’s contractual terms and applies to all recruitment assignments unless otherwise expressly agreed in writing.
